Too often we overlook the importance of backing up the data that we keep on our computers.  Have you ever really thought about what you would lose if something happened to your computer and it crashed?  With Mac, backing up your data has never been so easy.  Time Machine is an application for Mac that makes it easy to create a backup of the data on your computer in an unfortunate case that it crashes or you lose or accidentally delete a document, picture or other important file.  The only thing you need to keep Time Machine backing up your data is an external hard drive big enough to store everything on your computer.  What is nice is that it runs on its own and updates constantly.

Setting up Time Machine to backup your Mac is extremely simple.  Once you have plugged in your external hard drive, via the USB, a popup window will appear asking you whether you want to use it for a Time Machine backup and all you have to do is click the button for Use as Backup.  Unless you only want to back up certain documents and information, this is really the only step that you need to follow.  You can always customize Time Machine to backup certain files and folders.  Time Machine backs up hourly and will create multiple copies of your files so that you can go back to a certain date and time if anything were to ever happen to that particular file.  This is a great feature.

If you have never thought about the ramifications of losing the data that you keep saved on your computer, you really should think about it and consider backing up your data.

Just this weekend I was working on something for school and I wasn’t paying attention to how often I was saving my work.  Unfortunately at some point I lost power and then my computer crashed.  When I rebooted I realized that I had lost the work that I had done thus far.  Thankfully for me, I have found an incredible software by Piriform called “Recuva“.  “Recuva” is a free software download that will help you recover files that have been deleted from your Windows computer (PC), recycle bin, memory card, and MP3 player.  This is something that can be extremely helpful if you, like I have in the past, deleted an important file by accident or suffered data loss when my computer has crashed.

Some of the features that “Recuva” offers are recovering lost files on your computer, such as photos, documents, music files and even emails.  One thing I love about this is that you can even recover files directly from your iPod’s drive, even if you can access the files directly.  You don’t have to worry about losing the music from your iTunes library or iPod any more.  Another nice feature is that if you have damaged or formatted your hard drive and you forgot to back it up, “Recuva” can help you get those files back.  Where Windows can’t find files on a formatted or damaged drive, “Recuva” can!  They may not all be recoverable but it’s better than nothing.

Where “Recuva” helped me specifically is with it’s ability to restore unsaved Word documents.  This software can rebuild documents from their temporary files and believe me, if you have ever experienced this, it’s worth it!

One thing that you have to think about with the ability to recover data and files is that if you can do it, so can a hacker.  One other feature that “Recuva” offers is the ability to safely and securely delete files that you want to get rid of forever.  The software has the ability to overwrite the portion of the hard drive where the ghost file of the original file exists so that it can never be recovered.

We tend to keep massive amounts of data on our computers much of which is irreplaceable.  Those of us who have iTunes libraries usually have thousands of songs and if you computer crashes and you haven’t backed up your data, that’s thousands of dollars down the drain.  I know that when you purchase songs they are only $0.99 and at the time it doesn’t seem like that much money but when you look at the amount over a period of time it becomes hundreds if not thousands of dollars worth of music.  I know that when I think about it in those terms I would be devastated to lose that amount of money.

Most people think that having a surge protector is enough to keep their computer safe, no to mention they are inexpensive.  This is really only the case when you are talking about voltage spikes.  Surge protectors don’t help to maintain the constant voltage level, “condition” the power, which is coming in to your computer.  Therefore, in the instance of a brown-out (low power conditions) or power failure, they are useless.  Brown-outs can be extremely harmful because they cause your computer to run on an extremely low voltage which puts a incredible amount of strain on your computers hardware.

The other reason to invest in a battery back up is that it protects your data.  I’m sure that I’m not the only one who has been in the middle of working on something when the power suddenly goes out and you’re afraid that you’ve just lost everything that you were working on that you hadn’t recently saved.  We all know how important the data is on our computers and taking certain precautions can help prevent us from losing it.

APC is the one of the most common, well-kn0wn brands for battery backups and when you start your research in to buying a batter backup (UPS) it’s probably smart to stick with brands that you know, just as with any other computer product.  There are some brands that are cheaper and that we aren’t as familiar with that can be just as good as the popular more expensive brands, but before you invest in them, do the research!  Most people should be able to survive just fine with a lesser expensive product that will keep your computers power running, in the event of a blackout or brownout, for about 5 to 15 minutes, which is plenty of time to save what you are working on and shut down the computer without issues.

In the long run, this will save you a lot of hassle when it comes to data loss and recovery as well as protecting your computers hardware from damage.

Pirated software is nothing new, but for those who don’t realize what they are getting in to; using and having pirated software can cause major problems, for you and your computer.  It puts your computer and your data at great risk.  The pirated version of Windows 7 that came out before its release date had a Trojan virus, malware, and botnets attached to it, and these did serious damage to a lot of people’s computers, before they realized it.  Most antivirus software’s weren’t ready with the Window’s 7 updates; therefore there was not way for them to detect these viruses.

Data Backup – Backing Up Your Data

One of the most important things we can do is back up the data that is on our computers.  I know that we don’t often think about it, but a system crash due to a virus or hardware failure can be disastrous.  And even though it seems redundant and time-consuming, performing regular data backups can save you a lot of headaches.  Consider what it might cost you in time, effort, and money if your system does crash and you have to reconstruct all of your data or risk losing it forever.

The most popular options for data backup are:

1.       CD and DVD (Optical Drives)

2.       External Hard Drives

3.       Flash Drives

4.       Online Backup Services

5.       RAID System – Mainly applies to business environments or a person with very large amounts of data

Optical drives (CD’s and DVD’s) are great for backing up files such as your music and photos.  With the boom of multimedia downloading sites such as iTunes, Rhapsody and Napster, most, if not all, of our music is on our computers and if you think about it, to lose them could possible mean losing thousands of dollars, and as far as photos go, because we are more inclined to use a digital camera these days, all of our photos are digital and we rarely ever print them out because it’s much easier to share them via email or social networking site, those memories are priceless, especially if you lose them. CD’s and DVD’s are prone to scratches and other physical damage that can cause problems so you have to make sure that you are careful with them and store them safely.

Flash Drives are better suited for backing up files such as word documents and excel spreadsheets.  Using the computers USB Drive you can easily back up your data and transport it.  Flash drives are nice because they are small but they offer a limited amount of storage space and because of their size they can be easily lost.

External hard drives are probably the best when it comes to backing up home computers.  They offer a lot of storage space and you can set them up to run automatic backups on a regular basis.  This eliminates having to back up data manually as with optical drives or flash drives.

Online backup services are an alternative that a lot of people are choosing these days because you can access your data remotely, as long as you have an internet connection and safe from physical damage.  Up to a certain amount of data is free for online back up services, after that they usually charge a small monthly or annual fee.

RAID system configurations are good for business environments or for individuals with large amounts of data.  In the even of a system failure RAID essentially gives a mirror image of the hard drive.  They automatically image the drive (back up).

To Repair or Replace-

Ask yourself these three questions:

How old is my computer?

What do I use it for?

What is it worth?

Computers are ones of the most frequently used devices in our homes and offices today.  There isn’t a day that goes by where most of us don’t use one.  So what happens when your computer breaks down or crashes?  The first thing that crosses our minds is how much is this going to cost me to fix…and if I can’t fix it how much is a new one going to cost?  Or, is it going to be more expensive to fix than to just simply replace it?  Due to all of the competition amongst brands these days, computers are fairly inexpensive, but then we have to think about all of the data that is on our computers.  Transferring data from one computer to another is not only timely but can be costly as well.
